Terms of use
The contract for using SortProof, including billing and how organisation content is processed.
Last updated 22 October 2026.
Who you are contracting with
These terms are between you and GBK Solutions Ltd, company number 14434333, registered in England and Wales. Registered office: 20 Bouverie Court, Leeds, LS9 8LB. VAT number 453889542. ICO registration CSN3569463. The product is SortProof, at sortproof.com.
Using the website, the free checker, or an account means you agree to these terms. If you create an organisation, you confirm you are allowed to bind that organisation.
The service
SortProof helps a workplace in England keep a record for Simpler Recycling. It turns the answers and documents you enter into guidance, actions, and a downloadable pack. The result is guidance and a record. It is not a certificate, it is not legal advice, and it is not issued by Defra or the Environment Agency. You decide how your workplace meets its duties.
Accounts and acceptable use
Give accurate details and keep your password and authenticator private. Where the product asks for an authenticator app, set one up. Do not upload malware, try to open another organisation’s workspace, or copy the checker or the product in bulk.
Plans, trials and billing
Prices below are before VAT. VAT is added at checkout, and Stripe emails the VAT invoice. The amount shown on the checkout page is the amount charged. Card payments are handled by Stripe. Change the card, switch plan, or cancel from Billing, which opens the Stripe customer portal.
- Free. No subscription fee. One assessed site and 2 members.
- Essentials. £19 a month or £190 a year. One site and 3 members, with evidence storage, compliance packs, reminders, and the admin and supervisor roles.
- Multi-site. £49 a month or £490 a year, for up to 10 sites. Each further site is £5 a month or £50 a year. Unlimited members, the activity log, and the advisor role.
- Advisor. Priced in the contract for that organisation.
- Setup call. £99 for a 30-minute appointment, when you book one.
- Deadline Pack. Offered only while the purchase page is available. £49 per site, paid once. The entitlement runs until 30 June 2027. You can ask for a refund within 14 days of payment if a Compliance Pack has not been generated for that purchase.
A paid subscription starts with a 14-day trial, and a card is taken at the start. The trial becomes a paid subscription unless you cancel in Billing before it ends. If you cancel after that, access continues until the end of the period already paid for.
If a payment fails, the workspace stays available for 14 days. After that, access is restricted until the payment succeeds. A failed payment does not delete the organisation’s records.
If a charge looks wrong, use the contact form and choose Billing before you raise a card dispute. Include the order id from the receipt. The card issuer and Stripe decide a dispute raised with them.
How we process organisation content
These terms are the instructions for organisation content. That content is the sites, assessments, documents, collectors, collection records, compliance packs, comments, and activity stored for the organisation. We process it to provide SortProof for as long as the account is open, and for the retention period in the privacy notice after it closes.
We are the processor of that content. We are the controller of account details, support messages, and the billing records we store. Stripe is the controller of the card number and the payment account.
- Workspaces are separated with row-level security. Traffic is encrypted in transit, and DigitalOcean encrypts stored data at rest. Uploaded files are scanned for malware before they can be downloaded. Roles decide who can see each part. Changes that affect the compliance record are written to an append-only audit log.
- Companies that process personal information for us are listed at /subprocessors. That page is updated before a new company starts processing personal information.
- An owner can export the organisation from Settings, and can use the contact form if a person asks for a copy, a correction, or deletion of organisation content. We will help with that request.
- If we become aware of a personal-data breach affecting an organisation’s content, we tell the organisation owner without undue delay.
- Only the owner can close an organisation. Deletion waits 30 days so the owner can cancel it. After that, the closure proceeds. Packs already downloaded stay with the person who downloaded them.
These processing terms are part of this contract. A separate signed schedule is not attached to this page. Transfers outside the United Kingdom are described in the privacy notice.
Liability and the governing law
These terms are governed by the law of England and Wales. The courts of England and Wales deal with disputes under them.
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that the law of England and Wales does not allow a contract to limit.
You remain responsible for the decisions you make about your workplace, including decisions that use the guidance, a document you upload, or a collector, landlord, or adviser outside SortProof. These terms do not set a monetary limit on liability.
